River Walk needed a website that allowed the HOA Board Members and Residents to manage their contact information, pay HOA fees, reserve facilities, and more.

The Strategy

The challenge for us with River Walk was creating a system that delivered all the functional requirements requested, but in an easy to maintain system. The board members server annually, and new members are onboarded each year. This meant the training and new member onboarding needed to be easy, and self-service.

My Project Solution chose WordPress and the CMS to build the application on. WordPress provided robust user management and content editing and publishing. A few plugins were used to enhance the CMS:

• Gravity Forms
• The Events Calendar
• Memberpress

My Project Solution also created custom plugins and custom theme functionality.

For the resident directory, we added a custom view of the residents that is restricted to registered residents only. Since residents do not log in to access the directory, we added custom logic to validate the user’s email address as a registered resident to protect the private contact information of residents without requiring a username or password.

For the pool to open during the COVID pandemic, My Project Solution wrote a custom pool sign-in kiosk that allowed members to sign in, and for the pool staff to monitor the number of members at the pool. The kiosk validated against the registered resident’s data, including the payment status of their HOA fees requiring the member to be current on fees before they were allowed to sign in. This system has since be replaced with the custom integration to KISI.

KISI is an Access Control System. Using a Keychain or Card FOB, or the free mobile app, registered members can access the River Walk facilities including the Clubhouse, Restroom, Pool, and Gym. My Project Solution set up the KISI system and coordinated and managed the installation of the card readers and controllers. We also integrated the River Walk website with KISI, creating new members and updating permissions for existing members.

Proven Results

River Walk processes more than 2000 payment transactions annually, and manages over 1500 members in KISI. The easy-to-use features My Project Solution created for River Walk allows the volunteer board members to easily and efficiently manage their memberships.
